Messaging the Author

Sending messages to the author from the Messages tab of a submission, writing internal notes between editors and following the correspondence.

Permission needed
Message authors about their submission
Changed in
1.9.6

All correspondence with the author runs on the Messages tab of the submission. On the same tab you also write internal notes that only editors see.

  1. Open the submission and go to the Messages tab.
  2. Select Message to the author or Internal note (editors only).
  3. Optionally, fill in the Subject field.
  4. Write your text in the Message field.
  5. Press Send.

When you send a message to the author, the author is informed by e-mail. The e-mail does not contain the text of the message and directs the author to the panel. Internal notes are never shown to the author and are marked with the Internal note label in the list.

If you move to another tab before you send the message, what you wrote stays in the box until you come back. If you try to leave the screen without sending it, the panel asks first.

Other entries on the tab

  • Requests for missing documents sent during screening are listed as messages to the author.
  • Notes that reviewers send after their reviews appear as internal notes.
  • Messages the author writes to the editors are in the same list.

Messaging permission

Sending messages to the author requires the Message authors about their submission permission. If you do not have this permission, the tab says so in a note and you can only add internal notes.

Withdrawal reason

If the author withdraws the submission, the reason they wrote appears under the Submission withdrawn entry on the Timeline tab. The reason is not included in e-mails and is not shown to reviewers. A withdrawal also closes the open reviewer invitations.
