How-to

Filling in the Release Settings

Preparing the access status, licence, identifiers, journal issue, parent book, categories and catalogue address for the catalogue record of the work.

Permission needed
Manage production jobs and tasks

The details on the Release settings card are used when the catalogue record is created or updated on release. You can fill in the card at any stage of the job and save it with Save.

Access and licence

  • The Access status list offers Open access, Metadata only, Embargoed and Restricted. For an article Open access is preselected, and for other types Metadata only.
  • Select the licence in the Licence list. An open-access release needs a licence, and it must be an open licence. Licences that are not suitable for open access are marked in the list.
  • For an embargoed release, enter a future date in Embargo end date.

Identifiers and year

  • If Publication year is empty, the year of the issue is used, or the year of the publication date when there is no issue.
  • The DOI starts with 10.
  • The ISBN field appears for books, theses, proceedings papers and children's books.

If a DOI, ISBN or catalogue address is used by another record, the release is blocked.

Placing an article in an issue

  • Select the issue of the article in the Journal issue list. An article can be placed only in an issue of its own journal.
  • The Section and Position in the issue fields are optional.
  • If you select no issue, you can tick Publish as early view. The article is released without an issue and appears in the early view section of the journal page. The catalog editors add it to an issue later.
  • The Page range (for example 12-34) and Article number fields are optional.

If you do not have the permission to manage journals, the list shows only published issues. The details are in The issue I am looking for is not in the journal issue list.

Parent book and pages

For a book chapter or a proceedings paper, find and select the book with the Search books box in the Parent book section. Enter the pages of the chapter in Page range. For a book, this field is called Number of pages.

Categories and address

  • Categories are the subject and genre categories of the catalogue record. A book that is to be published at once needs at least one category.
  • If Catalogue address (slug) is left empty, it is generated from the title.

Publishing at once

If Publish immediately on release is on, the record is published on the public site at the moment of release. If it is off, the record is created in the catalogue as a draft and waits for the final check of the catalog editors. The Citation preview at the bottom of the card shows how the citation will look.

On a released or cancelled job, the settings cannot be changed. The release steps are in Releasing a Work.
