Inviting Users

Opening an account for a new person, granting their roles and passing on the link to set a password by e-mail or by hand.

Permission needed
Create, disable and verify user accounts, Grant and revoke roles

The account of the person you invite is opened at once, and the person gets a one-time link to set their password. The link is valid for 14 days. When the person sets their password, their e-mail address is verified too.

Steps of the invitation

  1. On the Administration → Users & roles screen, press Invite user.
  2. Fill in the E-mail and Full name fields.
  3. In the E-mail language list, select the language of the invitation e-mail.
  4. If you are giving the person an extra role, press Add role in the Roles section.
  5. Select the role on the added row. For the Section editor and Editor-in-chief roles, you can also select a journal from the list next to it.
  6. If you want the invitation e-mail to go to the person, leave Send the invitation e-mail ticked.
  7. Press Create invitation.

Every account starts with the Registered researcher role, so you do not need to grant this role separately. You can grant other roles later too. The details are in Granting and Revoking Roles.

If an account was already opened with this address, no invitation is created. The invitation is written to the audit log.

If you untick Send the invitation e-mail, or if e-mail sending is off in the installation, the window shows the Invitation link field. The link appears only in this window and only once. Copy the link and pass it to the person through a secure channel.

If e-mail sending is on, the invitation e-mail goes to the person automatically, and the window says so. The Open user button in the window opens the new account's page.

Accepting with ORCID

If sign-in with ORCID is on, the window also has the ORCID iD for signing in field. If you enter the person's ORCID iD in this field, the person can accept the invitation with the Accept with ORCID button without setting a password. The invitation can be accepted only with this ORCID iD, and from then on the person can sign in with ORCID. The setting itself is described in Configuring ORCID Sign-In.

After the invitation

Until the person opens the link and sets their password, the account's status shows as Awaiting verification. How the person accepts the invitation is described in Accepting an Account Invitation.

If the invitation link has expired, you cannot create a new invitation to the same address, because the account is already open. Create a One-time password link on the person's page and pass it to the person. When the person sets their password with this link, their address is verified too. The steps are in Managing User Accounts.

If the New account registration flag is on, people can also open accounts themselves on the registration page. The flag is explained in Feature Flags.
