Granting and Revoking Roles

Granting a user a role for a single journal or for the whole platform, with an end date if you like, and revoking the role.

User Page

Roles are granted and revoked on the Roles & scopes card of the user's page. The change takes effect at once and is written to the audit log.

Granting a role

  1. On the Administration → Users & roles screen, press the user's name.
  2. On the Roles & scopes card, press Grant role.
  3. In the Role list, select the role.
  4. If the role is Section editor or Editor-in-chief, select Whole platform or a journal in the Scope list.
  5. If the role is to end on a certain day, fill in the Expires on field. If you leave the field empty, the role has no end date.
  6. Press Grant role in the window.

If the user already has the same role with the same scope, the role is not granted a second time. If you are giving an editor duties in several journals, grant the role separately for each journal.

Effect of the scope

An editor role granted for a single journal shows only that journal's submissions. An editor whose role was granted for Whole platform sees the submissions of all journals and the books, chapters and other submissions that do not belong to a journal. Other roles are always granted for the whole platform.

A role whose end date has passed stays on the card with its end date, but it gives no permissions. A role's end date cannot be changed later. To change the date, remove the role and grant it again with the new date.

The Roles & permissions guide button on the Users & roles screen shows which permissions the roles contain. The screen is explained in Roles & Permissions Guide.

Revoking a role

  1. On the user's page, find the Roles & scopes card.
  2. On the role's row, press Revoke role.
  3. In the window that opens, press Revoke role again.

The user immediately loses access to the screens and actions of this role.

Rules the system applies

  • Registered researcher is the base role of every account and cannot be removed.
  • You cannot remove your own System administrator role.
  • At least one System administrator must remain on the platform.
  • Every action that a role does not contain is refused on the server. The menus also show only the sections the user is allowed to use.
  • Roles do not work on an account whose e-mail address is not verified.
  • If mandatory two-factor authentication is on, administrator and editor roles do not work until the person turns on two-factor authentication.

The system administrator's roles

Someone with the System administrator role has access to every section but cannot make final decisions on submissions or approve ISBN requests. They do not count as part of the editorial or production team either. They do not get notifications about new submissions and production jobs, and they do not appear in the editor assignment lists.

If a system administrator is also an editor of a journal, grant their account the Editor-in-chief or Section editor role as well. If they sit on the publishing board, grant them the Publishing board role too. The details of the rules are in Separation of Duties and Four-Eyes Principle.
