Configuring Outgoing E-mail

Setting up the SMTP server that sends the system's e-mails from the panel, trying it with a test e-mail and turning sending on.

Permission needed
Manage site settings and feature flags

You set up e-mail sending on the E-mail tab of the Administration → Site settings screen. Changes take effect within a few seconds, both in the panel and in the background jobs, without a restart.

Server settings

  1. Fill in the SMTP server, Port and Connection security fields.
  2. If the server requires authentication, fill in the User name and Password fields.
  3. Fill in the Sender address field.
  4. If you like, fill in the Sender name, Reply-to address and Timeout (seconds) fields too.
  5. Turn on the Send e-mails switch.
  6. Press Save.

Port 587 is usually used for STARTTLS and port 465 for SSL/TLS. Select Unencrypted (internal network only) only for a relay on the institution's internal network. When you change the connection security, the well-known ports change with it, while a port you typed yourself is kept. The timeout can be between 5 and 120 seconds. While sending is on, the server and the sender address are required.

The password is stored encrypted and is never shown again. The screen only shows that a password is stored. If you leave the password field empty and save, the stored password is kept. The Remove the stored password option deletes the password.

Test e-mail

  1. On the Test e-mail card, type the address in the Recipient field. The field comes filled in with your own address.
  2. Press Send test e-mail.

The test uses the saved settings and works even while sending is off. You cannot run a test while there are unsaved changes. The result appears on the screen at once. If something fails, the screen gives the reason without showing the password, for example that authentication was refused or that no connection could be made. If you send many tests in a short time, the screen asks you to wait a little.

Status line

The status line at the top of the tab shows whether sending is on and which settings are in use. If no settings are saved in the panel, the installation's settings are used, and the panel's settings take over the first time you save the form. The line also shows the result of the last test and the e-mails waiting in the outbox. If the line says that the stored password cannot be decrypted, enter the password again.

The E-mail tile on the System health → Health tab gives the same information. Settings and tests are written to the audit log without the password.

After turning sending on

While sending is off, e-mails are not sent and wait on the System health → E-mail outbox tab. After you turn sending on, send the waiting e-mails with the Resend button on their rows. The steps are in Forwarding a Link from the E-mail Outbox.

Set up the SPF, DKIM and DMARC records for the sender domain as your e-mail provider instructs. In-panel notifications are created even while e-mail sending is off.
